Customer Service Representative

Primary Responsibilities:

Reporting to the Operations Manager of Howard Hanna Insurance Services: service policies upon request of the insured, banks, dealerships and any other persons upon receipt of sufficient documentation. Business and workflow are to be conducted in a standardized format including but not limited to interpreting company underwriting guidelines/interpreting risk recommendations, sorting through daily mail, taking/returning phone calls, establishing good relationships with all clients.

Account Representatives will be responsible for the following:

  • Handling all changes and questions to client policies including: mortgagee, vehicle, address, name, coverage, billing, pay plan, cancellations.
  • Creating auto ID cards EPI’s and LPR’s to be faxed, e-mailed, or mailed to the appropriate destination upon request within the same business day.
  • Handling calling, e-mailing and mailing
  • Notifying the agent when inspection reveals a significant difference in coverage
  • Following up on any and all outstanding documentation needed for underwriting purposes or required by the company (ie. updated driver license #’s, physician statements, photos of completed work etc.).
  • Checking up on all cancellations in each company and contacting agents on first year cancellations that would result in charge backs.
  • Returning all phone calls left on voicemail within same business day.
  • Offering account rounds and up selling of coverage’s when speaking with clients.
  • Offering clients other companies and a place to shop some quotes before allowing them to cancel a current policy.
  • Taking and making notes in AMS on any and all events that occur on that policy/individual client on that exact business day.
  • Scanning and attaching documents to AMS that are of significant importance to the file (ie. signed documentation, appraisals, alarm certificates etc.).
  • Mailing all policies coming from companies that do not mail them directly to the client.
  • Checking first to be sure money is received on all policies before sending policies to the insured.

 

Speaking with clients in a professional manner and maintaining a high level of tact at all times. All representatives are responsible for being courteous and kind and treating the client as if they are our only client. Representatives are accountable for their tone of voice, attitude, and work ethic at all times. Representatives must support all business needs as they may relate to the responsibilities of the business unit and support the Division Operations Manager in other duties and special projects assigned at the Manager’s discretion.
