Hanna Langholz Wilson Ellis (HLWE) is seeking a skilled Administrative Assistant to support its commercial real estate brokers and salespeople.

 

POSITION SUMMARY:

The Administrative Assistant (AA) will support management and sales agents in the commercial real estate industry. The AA will take pride, confidence and ownership in their work as a professional representative of HLWE. Our ideal candidate is resourceful, takes initiative, and has an energetic, positive attitude. The AA is comfortable working with people at all organizational levels and is able to adapt to diverse perspectives & styles. Reports directly to the VP/Director of Operations.

 

CORE RESPONSIBILITIES:

  • Compose reports, presentations, correspondence, and contracts on behalf of brokers
  • Tracking of listing contract dates and status
  • Monitor & order office supplies
  • Assist with database & file management
  • Coordinate service/repairs for office and equipment
  • Perform internet research
  • Coordinate office needs for new agents and employees
  • Screen and direct incoming phone calls
  • Organize internal & external company events
  • Social media management
  • General administrative duties and ad-hoc projects
  • Serve as back-up for Receptionist
  • Serve as overflow for various marketing needs

MINIMUM QUALIFICATIONS:

  • highly skilled and frequent user of Microsoft Word, Excel, Outlook and Adobe Acrobat
  • works independently with little to no supervision; works well as part of a team
  • possesses strong independent judgment, creative problem solving skills, and is detail oriented
  • safeguards confidential and sensitive information
  • excellent time management and multi-tasking skills, handling changing priorities & shifting deadlines
  • polished professional with excellent written and verbal communication skills
  • minimum 3 years in an administrative support role

Preferred experience:

  • Knowledge of real estate terminology
  • Knowledge of B2B social media strategies
  • Experience supporting a sales team
  • Experience using Adobe Photoshop and Adobe InDesign
